How to use Sawe Stock

Simple instructions for shops, hotels, rental houses and other businesses. Open only the section you need.

Start here: Create your account, choose country and currency, create a business, then select the business type. Use the business name at the top of the app to switch between businesses.
Shop, supermarket, pharmacy, wholesale and warehouse
  1. Open Products and add each item once: name, selling price, optional barcode/QR code, cost, category, unit and low-stock level.
  2. Open Stock when goods arrive. Search or scan the item, then add the quantity. Each change is saved in stock history.
  3. Open Sell, search or scan products, review the basket, add customer details if needed, confirm payment and share the receipt.
  4. Use Purchases for supplier goods and real purchase costs. Use Customer debts when a customer pays later.
Food outlet, restaurant and bar
  1. Add meals, drinks and services as products. You can turn off minimum-stock alerts when portion counting is not practical.
  2. Use Purchases for ingredients, packaging and written raw-material purchases.
  3. Use Sell for quick orders; then issue a receipt. Use Expenses for rent, gas, wages and other costs.
Hotel and guest house
  1. Add the hotel and all rooms under Hotels / rooms. Save the nightly price on every room.
  2. Open Bookings, choose a room, guest and dates. The room’s saved nightly price and booking total are selected automatically.
  3. Record a hotel payment, then create a receipt or invoice from Documents. Save a WhatsApp number to share it directly.
  4. Use the dashboard for occupied rooms, arrivals, departures, expected money and expenses.
Rental houses and apartments
  1. Add a property, then add each house, room or unit. Set the monthly rent on the unit.
  2. Create a tenancy with tenant name, contacts, start date and number of months. The end date is calculated automatically.
  3. Use Pay & extend to record payment. A partial payment is saved toward the next month until it becomes enough. Mark moved out only when the tenant really leaves.
  4. Use active/inactive contract tabs and tenant status to see agreement dates, paid-through date and balance.
Salon, barbershop, spa, car wash, laundry, repair shop and gym
  1. Add priced services and staff where useful.
  2. Use Appointments to book customers and update the work status.
  3. Use Documents for quotations, invoices and receipts. Add supplies, rent and wages in Expenses.
Farm, poultry and livestock
  1. Add eggs, chickens, feed, crops and other items using practical units such as tray, kg, bag or animal.
  2. Use Stock and Purchases for feed, medicine and supplies. Use Sell for produce sold.
  3. Use Expenses and Reports to compare sales, stock and costs.
Transport and delivery
  1. Add vehicles, routes and trips first.
  2. Record passenger, cargo or delivery bookings and money received.
  3. Add fuel, repairs and other costs in Expenses, then use reports to compare income and costs.
Church, mosque, SACCO, personal and community records
  1. Use Transactions for contributions, donations, savings, withdrawals and approved expenses.
  2. Always add a clear category and description.
  3. Use Reports to see money in, money out and balance by day, week, month, year or custom dates.
Customers, suppliers, reports and documents
  1. Save phone, email and a separate WhatsApp number for contacts. Mark the normal phone as WhatsApp when it is the same number.
  2. Use Reports to view sales, purchases, expenses, profit and remaining stock.
  3. Use Stock count to compare physical stock with the system count; differences are saved as adjustments.
  4. Use Documents: quotation before a sale, invoice when payment is due, and receipt after payment. Save PDF/image or share.
All supported business templates

Choose the closest template when creating a business. You can change it later in More → Business type and modules.

  • Shops and inventory: shop, supermarket, pharmacy, wholesale and warehouse.
  • Food and hospitality: food outlet, takeaway, bakery, restaurant, bar, hotel and guest house.
  • Property: rental houses, apartments and rooms.
  • Farming: farm, poultry and livestock.
  • Personal services: men's salon, women's salon, unisex salon, barbershop, spa, car wash, laundry, repair shop and gym.
  • Transport: bus, taxi/car hire, delivery, trucking, airline and ferry/boat.
  • Community and other: personal finance, church, mosque, SACCO, service business, custom business and other.
Owners, staff, approvals, subscriptions and safety
  1. Owners can add a second owner, managers and staff in Users. Choose only the menus each staff member needs.
  2. Create a user and show the QR code. The employee installs Sawe Stock and chooses Scan team invitation.
  3. Turn on approval rules when staff should submit changes for owner approval. A number appears on the affected menu when action is waiting.
  4. Use strong passwords. Sawe Stock does not show ads. The platform administrator controls plans and trials; after a trial ends, records stay visible but new records need a plan. Back up the online server regularly.
